This message is to inform you that a change in the Business Practice for removing holds on student records will go into effect October 1, 2019.
The current Business Practice is to delete holds from SOAHOLD in Banner Admin Pages, and thus the student record, when a student has completed the necessary tasks to clear the given hold. The new Business Practice will be to end-date the hold rather than deleting the hold from the student record. This change in business practice is to ensure that an accurate view of the students hold history is maintained.
Through a collaborative effort between University Information Technology Services, Institutional Research, and Enrollment Services, identified IT process and reports will be updated to conform to this new practice.
In addition to this new Business Practice, update access to SOAHOLD-Hold Information page in Banner Admin pages will no longer be available as of October 1, 2019. To accommodate this change, a Hold Management Portal has been created in KSU Connect. This portal will allow for adding and removing holds, as well as an audit trail of holds processed. More information on this portal and the form needed to obtain access to this portal can be found at the End Holds Project website.
Information Sessions to discuss the change in Business Practice and Hold Management Portal will be provided. Those dates can be found on the End Holds Project website.
Important Dates to Remember
- September 5, 2019- Hold Management Portal is available.
- September 9-13, 2019- Information Sessions on both campus to discuss these changes.
- September 23-27, 2019- Information Sessions on both campus to discuss these changes.
- September 30, 2019- Last day for update access to SOAHOLD-Hold Information page in Banner Admin pages.
- October 1, 2019- Holds no longer deleted from student records in Banner Admin pages.

Hold Management PortalEffective October 1, 2019, the Hold Management Portal is the only area where holds can be added and or cleared from the student’s record.
The Hold Management Portal will be the home:
- To Add Holds
- To Remove Hold
- To Run the Hold Audit Report
Access to SOAHOLD- Hold Information page in Banner Admin pages has limitations. Updating hold types could not be restricted to certain assigned users. Thus, anyone with update access could delete any hold type.
With the Hold Management Portal, users must have permission to remove holds. In addition, users can only remove the hold types they have been granted permission to remove.
Both the Add Holds and Remove Holds processes have the capability to notify the student(s) that a hold is added or removed from their record.
Finally, a Hold Audit Report is available to users. This report will provided a list of change activity on a particular student record. The report also gives the ability to see who updated the student’s hold activity for the particular hold type.

What is happening?
Effective October 1, 2019 the new Business Practice for resolving holds will be to end-date the hold rather than deleting the hold from the student record. This change in business practice is to ensure that an accurate view of the students hold history is maintained.
Who will this change impact?
This change will affect users of Banner Admin Pages who view and/or update hold information.
If you use the SOAHOLD- Hold Information page to view student holds, a record of the hold will stay in place. Careful attention to the end-date of the hold will determine if the hold is resolved or the student still needs to resolve the hold. Holds with a “to” date of 12/31/2099 indicates the hold is not resolved.
If you use the SOAHOLD- Hold Information page to add and/or remove student holds, you will have to use the Hold Management Portal in KSU Connect.
What is the benefit of using Hold Management Portal in KSU Connect and not Banner Admin Pages?
For those who add and remove holds, the Hold Management Portal has many benefits. Some of them are:
- Mass entry to add and end-date holds.
- Capability to send email communication to students who have a hold added or end-dated.
- Users can only update the holds they have assigned.
- Audit trail of a student is easily accessible.
When is the new Business Practice in effect?
The new Business practice to end-date resolved holds and update access removed from Banner Admin Pages will go into effect October 1, 2019.

This change in business practice is to ensure that an accurate view of the students hold history is maintained.
How will this affect me?
If you add or remove holds to student records, you will no longer be able to do so in SOAHOLD- Hold Information page of Banner Admin Pages. You will need to use the Hold Management Portal in KSU Connect.
How will this affect the students?
Every effort has been made to have no impact on students. Student facing applications, such as View Academic Holds in Owl Express, will be updated to ensure students only see the holds they must resolve.
I have access to add and/or remove holds in KSU Connect, can I still do this?
If you have access to the Add Hold and/or Remove Holds process found in the Registration Applications menu under the Advisor tab, then you will have access to the Hold Management Portal in KSU Connect.
If you use other processes in KSU Connect to add and/or remove holds, please contact UITS Help Desk at email@example.com to determine how your processes are impacted. Please note that UITS is updating all processes to end-date holds. This will be completed by October 1, 2019.

Can I still use my reports to show students with holds?
UITS is updating reports utilized in KSU Connect to account for end-dating holds.
Institutional Research is updating SAS and SAS EG reports to account for end-dating holds. However, if you have saved reports in “My Folder” they will not be able to update these.
